How Zivaro works

Everything about your booking page, availability, appointments, plans and branding — the same content the support assistant answers from.

Getting started

Create your account and verify your email: we send you a 6-digit code from Zivaro Verify, you type it on the verification screen, and you're in (the email also contains a link, if you prefer). Next, verify your phone number: we text a 6-digit code to your mobile, you type it back, and you're done — it's your personal number for account security, never shown to customers. Then set up your business: your business details (name, category, contact info), create your booking URL, your opening hours, and your first service. The moment you finish, your booking page is live — there is nothing to install and no approval wait.

From the dashboard you can add the rest at your own pace: more services, team members and their working hours, time off, and your booking page settings. Share your booking page link anywhere — your website, Instagram bio, Google profile, or a QR code in the shop window.

  • Overview — today's bookings, upcoming appointments and recent activity at a glance.
  • Calendar — every appointment in day, week or month view (a clean day list on phones).
  • Appointments — the full list, with statuses you can update.
  • Services, Staff, Customers, Availability and Booking Page — the setup screens covered in these docs.

Your booking page

Every business gets a public booking page at book.getzivaro.space/book/your-business. Customers book in five clean steps — Select a Service, Select a Team Member, Select a Day, pick a time, then Enter Details and confirm. They never need an account, a password, or an app: the whole flow works in the phone browser.

The addresses split by job: your site and dashboard live at www.getzivaro.space, while booking pages and the popup widget live on the book host above — that host serves booking only, so a dashboard address opened there shows a “page not found” screen.

You create your booking URL during signup. On paid plans you can change it any time in Dashboard → Booking Page; on Free it locks once set, with a one-time $5 change available if you ever need it. Renaming your business in Settings updates the name everywhere but never changes your booking link, and Dashboard → Booking Page keeps your link and both website snippets in one place.

Adding booking to your own website (Dashboard → Booking Page → “Add booking to your website”):

  • Booking button — a button on your site that sends visitors to your booking page. You choose the button text and color; nothing is hardcoded.
  • Popup widget — a “Book now” button that opens the booking flow in a popup over your site, so visitors never leave your page. Copy the two-line snippet the panel gives you and paste it into your site once.

Your booking page shows your address and phone number when you enable them, plus your welcome message with a Show more expansion when it is long. The page also adapts to your plan's branding — see “Branding and Powered by Zivaro” below.

Availability

Zivaro works out your free times from four things, all set by you: your business opening hours, each team member's own working hours, time off (holidays, sick days, breaks in the day), and the appointments already booked. In Settings you can also add a buffer between appointments, a minimum notice (how soon before a slot customers may book it), and a maximum advance window (how far into the future bookings open).

That is also how the calendar on your booking page works. A day with a light circle still has at least one free slot for the service — and team member — the customer picked. Days with no circle are fully booked, closed, or in the past, and can't be tapped. The filled circle is the day the customer is looking at. Because the circles come from the same availability calculation as the time list, a circled day always has real times behind it.

Two customers can never book the same slot: availability is calculated on the server, and the database itself rejects an overlapping booking for the same team member, even if two people confirm at the same second.

When a team member leaves, deactivate them in Dashboard → Staff instead of deleting anything: their past appointments keep their name, they can no longer be booked, and they stop counting toward your plan's team-member limit, so the slot is free for their replacement.

Appointments

Every booking lands in your calendar and appointments list with one of five statuses: Pending, Confirmed, Cancelled, Completed, or No-show. Open any appointment to move it forward — confirm a pending booking, mark it completed after the visit, or record a no-show.

The customer is kept in the loop by email automatically: a confirmation email with a calendar invite attached the moment they book, and a cancellation email if the appointment is cancelled. You get an email for every new booking too.

Cancelling an appointment frees its slot immediately, so another customer can book that time. Customers can also help themselves: the confirmation and reminder emails carry a “Manage booking” link where the customer can change the date or time — same service, same team member — or cancel, any time before the appointment starts. Nothing changes behind your back: whatever they do from the link, you get an email about it, and a move comes with a fresh calendar invite for the new time. If a customer asks you directly instead, you can always do it for them from the appointment in your dashboard.

  • Pending and Confirmed appointments block the slot in your availability.
  • Cancelled, Completed and No-show appointments never block a slot.
  • Your customers list and calendar update the moment a status changes.

Customers

Your customer directory builds itself: everyone who books leaves their name, email and phone at checkout, and they appear under Customers with their booking history. You can also add a customer by hand — useful for walk-ins and phone bookings.

Search the directory by name, email or phone. Each customer carries internal notes your team can keep up to date (“prefers quiet appointments”, allergies, anything useful) — notes are never shown to the customer.

Plans and billing

Zivaro is priced flat per business — your whole team is included and bookings are unlimited on every plan, including Free. The plans differ in team size, services, messaging allowances and branding:

  • Free — $0: unlimited bookings, 1 team member, up to 5 services, 50 reminder emails per month, 0 SMS per month.
  • Starter — $19/month or $190/year: unlimited bookings, 2 team members, up to 15 services, unlimited reminder emails, 100 SMS per month.
  • Pro — $49/month or $490/year: unlimited bookings, 6 team members, unlimited services, unlimited reminder emails, 500 SMS per month.
  • Growth — $59/month or $590/year: unlimited bookings, 15 team members, unlimited services, unlimited reminder emails, 2000 SMS per month.

Yearly billing costs 10× the monthly price — two months free. Pro sits close to Growth on purpose: for $10 more, Growth multiplies your team and SMS allowance.

Subscribing happens on the Billing page in your dashboard. Checkout is handled by Stripe — you pay by card on Stripe's secure page, and Zivaro never sees or stores your card number. The moment payment succeeds, your plan upgrades automatically. To switch plans, update your card, or cancel, use “Manage subscription” on the same Billing page: it opens your Stripe customer portal. Cancellation takes effect at the end of the period you have paid for; your account then returns to Free, and your bookings, customers and settings stay intact.

If a payment fails, Stripe retries the card automatically over the following days. Your plan stays active while the payment is past due and Stripe is retrying — you only drop to Free if the subscription is cancelled or finally ends unpaid.

Booking emails are live today: every plan includes confirmation emails with a calendar invite attached and reminder emails 1 hour before appointments — Free includes 50 reminder emails a month, and Starter, Pro and Growth include them unlimited. Reminder texts (SMS) are live too and go out at the same time, within each plan's SMS allowance: Free includes none, Starter 100 a month, Pro 500 and Growth 2,000. WhatsApp reminders are included in Growth's allowances but are not sending yet.

Bookings are unlimited on every plan. SMS allowances activate when messaging launches.

Branding and “Powered by Zivaro”

Booking page customization lives under Dashboard → Booking Page. On Pro and Growth you can pick an accent color, choose a button style (rounded, pill or square), and toggle your address and phone number on the public page. The panel shows a live preview of exactly what customers will see. Your logo itself is uploaded under Settings → Business details — any plan can store one, and it is displayed on the booking page and in emails on Pro and Growth.

On Free and Starter the customization panel is locked with an upgrade prompt, the booking page uses the clean standard look, and your page carries a small “Powered by Zivaro” line (a corner ribbon in the website popup). Pro and Growth remove it completely.

Email appearance

Your booking emails can look like you, too. Under Dashboard → Booking Page, the Email appearance section (part of Booking page customization, on Pro and Growth) offers 20 email templates — different layouts, fonts, logo positions and color schemes — plus optional font and logo-position tweaks on top of the template you pick.

There is nothing separate to configure for colors and logos: your booking-page branding flows into the emails automatically. Upload a logo or change the accent color or button style for the booking page, and the confirmation, reminder and cancellation emails to your customers (and your own booking notifications) follow. The section shows a live preview of the real confirmation email and can send you a test email so you can check it in your inbox.

On Free and Starter the section is locked with the rest of the customization panel, and booking emails keep the clean standard Zivaro look. Account emails (verification codes, password resets) always keep the standard Zivaro design — the templates apply to booking emails only.
